Job Description

Receptionist (Part-time)

A Law Firm is seeking an experienced, part-time, morning Receptionist for our Bloomfield Hills office to perform a variety of office and clerical duties including coverage of the main reception desk and phone, and operations of the office’s conference center.

 

Responsibilities :

  • Greets visitors courteously, determines their needs, and directs them to the appropriate person. Answers and relays incoming and interoffice calls.
  • Oversees and coordinates all scheduling for conference center, visiting offices and meeting rooms on a daily basis.
  • Assists in setting-up and breaking-down conference rooms for meetings, which also includes the set-up of beverages, food and technical equipment, as necessary.
  • Assists in maintaining the lobby and pantry areas, including post-meeting clean-up and restocking of kitchen supplies.
  • Receives and oversees packages left at reception desk. 
  • Orders food, and maintains receipts for catering records
  • Operates standard business equipment and assists other office and firm members, as needed.
  • Assists with various administrative tasks such as printing documents, packaging of mail/FedEx deliveries and occasional document notarizations.

     

    Requirements:

  • Proficient in the use of e-mail (preferably Outlook), MS Word, MS Excel and an ability to quickly and effectively learn how to use other software applications, such as the Quickbook reservation system and InterAction.
  • Ability to work independently and to carry out assignments to completion with minimum instructions, handle confidential information, adhere to prescribed routines and practices, maintain records, and to make reports requiring accuracy.
  • Excellent customer services skills and strong interpersonal skills necessary to communicate by phone or in-person and provide information with courtesy and tact.
  • Ability to operate standard office equipment. Basic math ability in order to assure the accuracy of records, reports, or correspondence.
  • Excellent organizational skills; detail oriented; an ability to handle multiple tasks effectively.
  • Dependable, excellent attendance record, able to work a flexible schedule, and able to work additional hours, if needed.
  • Must be able to work Monday through Friday. 7:30 a.m.-12:30 p.m., additional hours as needed. Must be willing to coordinate the scheduling of vacation and days off with afternoon receptioni st.
  • Occasionally required to lift and/or move up to 25 lbs; and push/pull carts.
  • Communication skills requiring social sensitivity and knowledge of Firm procedures in order to communicate effectively   with staff and management within and outside the department, along with external contacts, including vendors.

High school diploma or equivalent; preferably one year of experience in a professional environment entailing direct contact with client
