ORGANIZATIONAL SUMMARY:

POSITION SUMMARY:

The Manager of Donor Relations is a key member and an energetic thought leader on the Development Team, reporting to the Director of Donor Relations. Responsible for the strategy and execution of a high level, professional stewardship program that acknowledges the impact of philanthropy to St. Joseph's Prep and serves as the contact for stewardship activities, such as endowment reports, donor engagement, stewardship events and acknowledgement initiatives.

KEY RESPONSIBILITIES:

  • In partnership with the Director of Donor Relations develop an annual stewardship plan that acknowledges and recognizes all categories of donors to the Prep including annual fund, major gifts, endowment, scholarship, planned gifts, memorial gifts, and loyal donors. The Manager is responsible for collaborating with appropriate internal partners to execute the plan.
  • Responsible for the creation and execution of the acknowledgement process for all gifts and the mechanism for administration and distribution to donors.
  • Develop gift reports through RE/NXT and utilizes to produce appropriately timed acknowledgements.
  • He/she will create and update acknowledgement messaging throughout the year for all constituencies including alumni and parent donors, colleagues, tax credit donors, memorial donors, corporations & foundations, etc.
  • Collaborate with Major Gift Officers on acknowledgement of high-end Prep Fund and major gifts.
  • Collaborate with VP of Institutional Advancement to facilitate presidential letters to leadership donors; in conjunction with, will coordinate all aspects of Spring Dinner for leadership donors.
  • Collaborate with the Prep Fund team on annual campaigns including Day of Giving, Class Challenge and other opportunities to create a stewardship plan for each.
  • Collaborate with Major Gift Officers to manage stewardship and membership for giving societies including Villiger Executive Council, Young Alumni Leadership Council and President's Advisory Council. Maintain coding of the current membership list and plan all giving society events.
  • Partner with the Director of Donor Relations on annual fundraising events including Prep Classic and Auction to create stewardship plans for each.
  • Collaborate with Development Services in creating reports for all pledge reminders and payments and issue reminders on a semi-annual basis. Track final payments and steward appropriately. Coordinate with Major Gift Officers to ensure timely payments.
  • In partnership with the Finance Office, create annual Endowment Reports and letters of gratitude for each Endowed Fund and prepare for distribution to donors. If appropriate, include a report on scholarship student recipients.
  • Plan, execute and administer an annual online auction fundraising event; managing all software, including entering items and descriptions, marketing and timeline of event. Solicit auction items from campus partners. Coordinate distribution of physical items to winning bidders. Collaborate with Development Services to account for all transactions and import data into Raiser's Edge. Create acknowledgements to all winning bidders and in kind donors.
  • Create a list for annual Christmas cards and coordinate appropriate signatures with the President, VP of Institutional Advancement, and Major Gift Officers.
  • Collaborate with the Director of Donor relations to create a yearly scholarship stewardship plan including student profile, invitations to scholarship dinner and Mass of Holy Spirit, and contacts between donor and recipient.
  • Direct and manage student scholarship recipients ensuring participation at required events and completion of thank you letters. Keep apprised of student progress to assure compliance with scholarship criteria. Maintain database record of relationships between donors, funds and scholarship recipients in Raiser's Edge.
  • Collaborate with the Director of Donor Relations in the production and execution of event invitations, programs, binders, briefing memos, attendance lists and name tags. Collaborate with Development Services to create invitation lists from Raiser's Edge for all stewardship events.
  • Collaborate with campus partners and outside vendors including facilities, catering, and security to assure events are scheduled, planned and executed properly.
  • Attend and support appropriate donor events, occasionally on nights and weekends.
  • Keep abreast of industry trends and best practices to ensure that the Prep continues to steward its donors in the most effective way. Actively participate as a thought leader in developing and creating new and creative ideas to steward donors at all levels.
  • Other duties as assigned.

EDUCATION, EXPERIENCE AND SKILLS REQUIRED:

  • Three to five years' experience working in a fast pace environment
  • Bachelor's degree or related experience
  • Experience with Raiser's Edge or other Development Fundraising software
  • Excellent verbal and written communication skills with the ability to write acknowledgements sharing both gratitude and impact of giving to engage current donors from various constituencies (alumni, parents, friends and students)
  • Ability to engage with donors and students, both on the phone and in person
  • Extremely organized with an attention to detail.
  • Strong computer skills including experience using Microsoft Office and Google Products
  • Demonstrated ability to multitask.
  • Ability to work with minimal supervision with great accuracy and efficiency.
  • Ability to work well in a fast paced environment with competing deadlines
  • Ability to work in a team environment
  • Ability to work nights and weekends when required
